Communications Contest Checklist

Full members of NDPC are eligible to enter the 2012 NDPC communications contest. The deadline for all entries is Friday, Jan. 6, 2012. Entry fees are $18 per member and $5 per entry. Entries should be mailed to contest coordinator Jeanine Larson at State Bank & Trust, Attn: Jeanine Larson/Marketing Dept., 3100 13th Ave. S., Fargo, ND 58103.

Contest Checklist

  • Pay 2012 membership dues before the entry deadline of Friday, Jan. 6, 2012, or include them with your entry. If you include dues with your entry, please write separate checks for dues and entry/ies.

  • Verify dates on your entries to ensure eligibility. All entries must have been published, issued, broadcast, telecast or printed for the Web between Jan. 1, 2011, through Dec. 31, 2011.

  • Include the correct number of items with the entry. If the rules specify three articles for an entry, be sure three are included.

  • Complete the ENTIRE entry form. Category and number must be included. Also, if your entry receives a first place and goes to national, the entry form must have every line completed or NFPW does not accept it. Last year, several entries simply listed the publication (such as Forum) and then did not complete the remainder of information requested, such as the following line asking for address of (the Forum or publication listed). This year, the Contest Chair will not complete first place entries to make them eligible for national. If they are not correctly completely when submitted and they receive a first place award, NFPW will not accept them.

  • Include a statement, if required. Some public relations, advertising, broadcasting and editing categories require statements. Items entered without required statements will be disqualified.

  • Submit tear sheets (whole pages) or photocopies of whole pages with the date and name of publication clearly visible, if possible. Sections, special editions and publications must be submitted in their entirety. Indicate whether sections and supplements are part of a larger publication.

  • Clearly identify the submitted articles on the tear sheet by highlighting or underlining the title.

  • Verify that you are sending the correct entry fee amount. Count the number of entries accurately.

  • For radio and television entries, indicate the length of the broadcast on the entry form.

  • Remember that you may submit two entries per category or subcategory.

  • Be sure entries in all categories — except editing, producing or public relations and advertising brochures — are entirely your work. Note that in Print Media categories 11-16, an editor or producer might not have done all the work on a page or publication. Also, in advertising or public relations, few people are completely responsible for an item, ad, brochure or direct mail campaign. Therefore, the entrant should be the creative planner who is responsible for seeing the message through, the content director or the copywriter.

  • List on the entry form all your roles in creating the entry. Examples include creative coordinator and copywriter, copywriter and layout, and so on.

  • Be sure each member who collaborates on an entry pays membership dues if these members are entering together.

  • Place EACH entry in a separate 9 x 12 envelope. Last year, several people placed all their entries into one envelope. Contest Chair had to redo them and label all envelopes appropriately. This year, those entries will be disqualified if they are not each placed in a separate envelope.

  • Each envelope should have a label in the upper right hand corner on the VERTICAL corner of the envelope with the following information on the outside of the envelope: Your name, Your state: North Dakota, Your category number. Do not seal the envelope; just tuck the flap inside. You can mail all the entries together in a larger envelope or box. Again, NFPW does not accept entries if the information is placed on the horizontal right hand corner rather than the vertical corner of the envelope.

  • Do not send irreplaceable items.

  • Postmark all entries on or before Friday, Friday, Jan. 6, 2012.

  • Mail entries to: State Bank & Trust, Attn: Jeanine Larson/Marketing Dept., 3100 13th Ave. S., Fargo, ND 58103.
